How To Send Mail

E-mail send

Although technology – via emails, social networking, cellular phones and the like - in the last few decades have gone a far way in improving many aspects of person to person communication, traditional forms of communication are still around and are just as viable. It is true that with technological advances, communicating has been made faster and less tedious, however, many persons in many countries still do not have access to many of the technologies available and so have to continue with traditional forms of communicating. As well as there are persons who still enjoy traditional forms of communicating as they find it more personable. One such traditional form of communicating is that of sending letters. With the onset of electronic mailing systems (emails), this traditional act of sending letters through the mail, has come to be known as snail mail. Many businesses such as banks and billing agencies still communicate primarily though using this process, as well as many persons applying for jobs are required to do so via snail mail. Sending snail mail is a simple process however and there are a few simple steps that need to be employed in order to help persons get through it.

TOOLS REQUIRED

    * Paper
    * Pens
    * Envelops
    * Printer
    * Water
    * Sponge

MATERIALS REQUIRED

    * Mailbox or Post Office
    * Stamps
    * A mailing address for the recipient of the letter
    * A return address so that the recipient may respond to the mail/letter

INSTRUCTIONS

   1. Persons send mail for a myriad of reasons and as such, establishing the purpose for sending the mail will serve as a guide in how one engages the process.
   2. Write the letter. The first step to sending a letter via snail mail is to put pen to paper or printer to paper and write and or type your letter. A letter that is not written cannot be sent. For business purposes it may be best to type the letter as if seems more professional (unless of course handwritten mail is specially requested). Although personal letters can be typed, they are best when they are handwritten as they are more personal – which is the initial goal in any case. If the letter is being typed, when finished typing, be sure to print it.
   3. Print the envelop/Write address on the envelop. For business letters, it is best to print the address on the envelop as it is neater and professional and by extension more presentable. The same can be done for personal letters, however this will be a matter of preference as the address may be written on the envelops of personal letters. Please ensure however that handwriting is neat, as personal does not infer sloppy.
   4. Fold the letter. After writing or typing one’s letter and printing the address onto the envelop, the letter should be folded neatly in three – that is, using only two (2) creases. Persons should ensure that his or her hands are clean before folding as any dirt mark on the fingers will be transferred to the crease lines and this will not be pleasant for the recipient.
   5. Place the letter inside envelop. After neatly folding the letter, place the letter inside the envelop. To seal the envelop, take the sponge and dip it in some water. Then wipe the wet sponge along the glue strip on the inside of the flap on the envelop. Press the flap against the underside of the envelop to seal completely.
   6. Apply stamp and mail. The weight of your letter will determine the type and cost of the stamp needed as well the destination. Your letter may be weighed at the post office or at a convenient store that sells stamps. After getting the appropriate stamp, affix it to the top right hand corner using the wet sponge to activate the glue and drop the envelop in the appropriate mail box.

TIPS AND WARNINGS

    * Technology is always seeking to improve traditional modes of communication and one such website is snail mailmen which allows persons to engage in the snail mail process by using their services to have one’s letter printed and mailed to just about any mail box the world over. This can help to remove the need to get one’s own supplies and it also removes the hassle of going to the post office and the like.
    * For important and or confidential documents, it is best to mail them via certified mail. Certifying a mail ensures that the mail is delivered to the recipient. The sender gets a copy of this confirmation. Persons can inquire at their local post offices to learn more about certified mail.

How To Save Emails

 Save Emails

If you use outlook express then it is probably wise to back up your e-mails. Unlike external email accounts that save information on web-servers, Outlook Express saves your email to the hard drive of your computer. This can be both a benefit and disadvantage. One benefit is that you can access your emails when you are offline, in other words they are accessible without an internet connection. A disadvantage of this is that your emails can be wiped from the computer's memory if the system is infected with a virus, malware or a Trojan. Backing up your emails to another drive or an external device is not very difficult. It may be a bit challenging to locate all your files however once you do so you can then create copies to be stored on another storage device.
Required Materials and Tools

    * Working Computer
    * Outlook Express
    * DVD/CD/Jump Drive
    * DVD/CD burner

Instructions

The main email files are stored as .dbx files. Thus you will need to sort through folders with this in mind. The task may also be compounded if you use many folders to store your emails in Outlook Express. Depending on the system you use you may have to search different directories. For Windows 98 look in the Windows directory. For Windows 2000 and XP browse the application or user data folder.

   1. First you need to find the location of your emails. Open Outlook Express.
   2. Navigate to the Tools menu and click on Options to open the dialog box.
   3. Within the Option dialog box select Maintenance and then select the Store Folder option. You should clearly see the path to your emails.
   4. Copy this information. You may do this by highlighting the path with your mouse cursor and then clicking the right button to bring up the dialog that allows you to select copy. Alternatively you may press ctrl + c to copy the highlighted area.
   5. Open Windows File Manager. In the address field paste the path information. You should see a folder that contains the emails from Outlook Express. This folder will contain a large number of .dbx files, especially if you have been sending and storing many emails. There may be some other files in the folder as well, however, your main concern are the .dbx files.
   6. After you have located the files you would like to copy highlight the emails you would like to save or press ctrl + A to highlight all the files. Press Ctrl +C to copy the data.
   7. Open the device you plan to use. If it is a CD or DVD then you will need to use another software to copy the information to either device or the burn to CD option that windows file manager offers in later versions. If you are using a burn software open it and insert an empty DVD or CD in the burner. Select the files you would like to burn and drop them in the appropriate field. Click burn and wait for the files to be burnt to a data DVD/CD. This may take a few minutes and will largely depend on the burner and your computer's processing power. Remove the DVD/CD from the drive once done and ensure that the information has been successfully burnt by checking on another computer. If you are using a jump-drive, open the drive folder. Check to see that it has adequate space to meet your needs. You may need to delete a few files to make space. Click paste inside the jump-drive's folder and wait until all the files are pasted into the folder. This will take between a few seconds to a minute or two. Once you are done, safely remove your jump drive and check it in another computer to ensure that the information was successfully copied.

Tips and Warning

    * Back up your emails periodically to protect vital information.
